Position Title: Office Administrator
Part Time (15 hours per week)
Wages: $25/hr
Responsibilities:
This position provides administrative support to meet the growing needs of TANC and serves as a key member of the management team. The duties outlined below represent the core responsibilities of the role;
However, given the dynamic nature of the organization, the scope of these responsibilities may evolve in response to organizational needs.
Job Description: Administrative Assistant
Core Responsibilities
- Executive Support: Provide comprehensive secretarial and administrative support to the TANC Board and President.
- Permit & Compliance Management: Coordinate city permits, insurance, and inspections under the President’s direction. This requires frequent in-person meetings with city departments and third-party vendors.
- Communication & Inquiry Handling: Manage phone calls, take detailed notes, and provide appropriate guidance to callers. Ensure timely reporting of all inquiries to the President or relevant Board members.
- Digital Presence: Monitor and update TANC’s website and social media platforms. Respond to queries and post updates in consultation with the President.
- Office Management: Manage inventory and order office supplies in coordination with the Accountant. Handle all incoming/outgoing mail, ensuring donors receive timely acknowledgments and “Thank You” notes.
- Meeting Coordination: Schedule and attend Board and general meetings. (meeting hours do not count)
- Manage logistics and issue announcements across email, web, and social media channels.
- Membership & Outreach: Partner with the President and Membership Coordinator to execute the annual membership drive. Duties include data entry, outreach (phone/email/social), card logistics, and managing booths at events.
- General Administration: Maintain and organize files, draft/proofread correspondence, and conduct research as
- requested.
Work Schedule & Reporting
● Total Hours: 15 hours per week.
○ Required: Minimum 5 hours on Sundays.
○ The remaining 10 hours can be adjusted on other days.
● Reporting: This position reports directly to the President or their designee.
Qualifications
- Education: High School Diploma/GED required; Associate’s degree or higher preferred.
- Experience: 1–3 years of administrative experience in an office environment.
- Language Skills: Fluency in Tibetan and English is required. Strong English writing skills are essential; the ability to write in Tibetan is a significant plus.
- Technical Proficiency: Skills in MS Office (Word, Excel). Strong command of social media and web platforms.
- Soft Skills: Exceptional organizational skills, a high sense of urgency, and the ability to work independently with minimal supervision.
Employment Terms
Contract: Initial one-year contract, renewable based on performance.
